Job Description: Membership & Communications Manager

Main functions: Working at the TIAPEI office, in Charlottetown, the Membership & Communications Manager is responsible for the administration, development, recruitment, marketing and maintenance of the membership of the Tourism Industry Association of Prince Edward Island (TIAPEI). The work will be performed with due regard to confidentiality, professionalism, efficiency, effectiveness and economy.

Reporting to:
Chief Executive Officer, TIAPEI

• To develop and action tasks in the membership development annual plan with the goal of increasing membership while maintaining excellent communications with existing and potential members
• To develop and manage industry and membership communications (i.e., press releases, on-line media) Manage consistent ongoing Social media updates on a daily basis coordinating frequency to benefit members and stakeholders
• Prepare and develop actionable annual marketing plan
• To travel across the Province to maintain existing memberships and promote membership benefits to prospective members
• To develop and implement the member life-cycle i.e. sale and payment, new member communications, member benefit administration and renewal process
• To respond promptly to inquiries from prospective members, members, the general public and other industry bodies by phone, email or in writing and follow-up with an agreed timeframe
• To use various means of communications to connect with members and thus, assist in the creation and update of membership and marketing material e.g. letters, recruitment kits, new member welcome folders, newsletters, e-bulletins, press releases, fact sheets, membership directories, member listings, member questionnaires and brochures
• To assist in the production of mailings and various other communications methods and ensure they are sent out in a timely manner
• To maintain the website content directed to membership relevant and up to date
• To conduct member surveys of pre-selected members using a prepared script, record responses and produce a summary of the results
• To attend industry and corporate events, both internally and externally to promote TIAPEI and its membership opportunities – networking as an “ambassador” of TIAPEI
• To develop and keep current membership benefits program
• To promote and sell the Associations’ memberships, benefits and services
• To maintain and update membership records
• To manage events when required e.g. book venues, track and confirm registrations, send our reminders and maintain attendance records
• To undertake member market research in areas such as member benefit analysis, member satisfaction surveys, member needs assessment and competition analysis
• To co-ordinate member recognition programs
• To issue membership certificates upon receipt of payment
• To assist in the member renewals process and processing new member applications
• To follow-up member resignations and produce reports on why members lapse
• To process reports
• To keep records and produce reports showing the results of recruitment and retention activity, marketing campaigns, member involvement, non-renewals and departmental spend when required
• To maintain a calendar of recruitment and retention activities, key events and meetings
• To perform routine quality checks on the membership database
• To plan work efficiently to meet the membership departmental goals and objectives
• To recommend ideas for improvement and highlight any problems
• To remain current with Association policies and procedures
• To perform other related duties as required

Working conditions:
Traditional work weeks are 5 days, Monday to Friday, Availability and willingness to work during non-traditional (evening and weekend) working hours is a basic requisite of the position. The incumbent must possess a valid driver’s license. Traveling throughout the province is a requirement for success.

Employment requirements:
• Completion of a post-secondary program in business
• 3-5 years’ experience of increasing responsibility in a professional business environment
• Must possess superior skills in verbal and written communications. Bilingualism is not required but would be an asset.
• Ability in the use of computers and other platforms for marketing and communication purposes
